Terms & Conditions
Last updated: May 2026. These Terms & Conditions ("Terms") apply to every reservation, booking, charter, and service ("Service") provided by Arlington Black Car ("Company," "we," "us"). By making a reservation, the booking party ("Client") agrees to these Terms on behalf of all passengers in their party.
1. Reservations & Quotes
Quotes are estimates based on the trip details provided at the time of inquiry. Final charges may include additional fees for extended time, extra stops, mileage beyond the quoted route, cleanup, gratuity, tolls, fuel surcharges, and other applicable items. All fees will be reviewed with the Client before the trip begins and again at checkout. A quote is not a guaranteed price until a deposit has been received and a written confirmation has been issued by the Company.
2. Deposits, Payment & Final Charges
A deposit is required to secure your reservation. All deposits are non-refundable. Prom and school-event reservations require a $500 non-refundable deposit. The remaining balance is due before or at the start of service unless other arrangements have been agreed to in writing. The Company accepts major credit cards, cash, and approved corporate billing accounts. By providing a credit card, the Client authorizes the Company to charge that card for any additional fees, damages, cleanup, overtime, gratuity, or other charges incurred during or after the trip.
3. Contract Review & Return
Upon booking, the Client will receive a contract for review. The signed contract must be returned within 48 hours of receipt.
4. Cancellation Policy
All deposits are non-refundable. Cancellations are subject to the following schedule:
- 30+ days before the event: Deposit forfeited; no additional charge.
- 14–29 days before the event: 50% of the total contract amount is due.
- Less than 14 days before the event: 100% of the total contract amount is due.
- Airport transfers: Must be canceled at least 4 hours before scheduled pickup; cancellations within 4 hours are charged in full.
No-shows are charged 100% of the total contract amount plus any applicable fees.
5. Vehicle Substitution & Affiliate Carriers
The Company reserves the right to substitute a vehicle of equal or greater capacity in the event of mechanical issue, accident, or other unavoidable circumstance. The Company also reserves the right to fulfill reservations using vetted affiliate carriers. Substitution or use of an affiliate does not constitute a breach of contract and does not entitle the Client to a refund.
6. Gratuity
Gratuity is not automatically included in quoted rates unless expressly stated. By providing a credit card at booking, the Client authorizes the Company to apply a 20% gratuity charge to the card on file if gratuity has not been settled by the end of the trip.
7. Conduct of Passengers
Passengers shall behave in a lawful, safe, and respectful manner at all times. The chauffeur has full authority to refuse service or terminate the trip without refund if any passenger:
- Engages in illegal activity, including possession or use of illegal substances
- Becomes physically aggressive, threatening, or disruptive
- Violates the Company's no-smoking, no-vaping, or no-drug policy
- Damages the vehicle or its contents
- Refuses to remain seated or wear a safety belt where required
- Brings unauthorized firearms, weapons, or illegal items onboard
The Client is responsible for the conduct of all passengers in their party. Groups consisting entirely of passengers under 16 years of age must have at least one adult chaperone present for the duration of the trip.
8. Food & Beverages
Food is not permitted inside any vehicle. Non-alcoholic beverages in sealed, spill-proof containers are allowed. Any mess or cleanup required due to food or beverages will be billed to the Client as a cleanup fee.
9. Alcohol Policy
Alcohol is permitted only for passengers 21 years of age or older, and only in vehicles where it is expressly allowed. Alcohol is strictly prohibited on any reservation where any passenger is under the age of 21. The chauffeur has the right to verify age and refuse alcohol service. Violation of this policy will result in immediate termination of service without refund.
10. Smoking & Vaping
Smoking, vaping, and use of any tobacco or cannabis products are strictly prohibited in all vehicles. A $200 smoking/vaping fee will be charged to the credit card on file for any violation, in addition to any costs associated with deodorizing or cleaning the vehicle.
11. Damages, Cleanup & Lost Items
The Client is financially responsible for any damage to the vehicle or its contents caused by the Client or any passenger, including but not limited to:
- Vomiting or biological cleanup: $200–$500 depending on severity
- Broken glassware: $25 per item
- Damage to upholstery, fixtures, or equipment: $200–$500 or cost of repair/replacement, whichever is greater
- Excessive trash or mess requiring additional cleaning
All damage charges will be assessed and billed to the credit card on file. The Company is not responsible for items left in the vehicle. Any lost-and-found retrieval or return shipping is at the Client's expense.
Pole use inside party buses is subject to a 185-pound weight limit. The Company is not liable for injuries resulting from misuse of onboard poles or other equipment.
12. Delays & Force Majeure
The Company is not liable for delays or failure to perform caused by traffic, road closures, accidents, severe weather, mechanical failure, civil unrest, acts of God, or other circumstances beyond our reasonable control. We will communicate proactively and make every reasonable effort to arrange alternate transportation when possible.
13. Limits of Liability & Wait Time
The Company's liability is limited to the amount paid for the Service. The Company is not liable for indirect, incidental, or consequential damages, including missed flights, missed events, lost wages, or emotional distress, except as required by law. The Company maintains commercial livery insurance as required by the State of Texas.
Complimentary wait time is included as follows: 15 minutes for standard curbside pickups; 60 minutes for airport meet-and-greet pickups (measured from confirmed wheels-down). Additional wait time is billed at the prorated hourly rate of the reserved vehicle.
14. Governing Law & Acknowledgment
These Terms are governed by the laws of the State of Texas. Any disputes shall be resolved in Tarrant County, Texas.
By making a reservation, the Client acknowledges they have read, understood, and agree to these Terms on behalf of themselves and all passengers in their party.
